Privacy Policy
Last updated:
This Privacy Policy explains what personal information Kit Crew collects when you visit kitcrew.shop or place a team order, why we need it, who sees it, how long we keep it and what you can ask us to do with it. Kit Crew is the business behind this store: Kit Crew, 4799 Seabreeze Lane, Myrtle Beach, SC 29579, US. Questions about your data go to support@kitcrew.shop. We answer within 24 hours on business days.
Team orders carry more personal detail than a normal shopping cart. A roster can hold a dozen player names and numbers, a school delivery address and the organiser’s email. We wrote this page so coaches, captains and parent volunteers know exactly what happens to that roster once it leaves their hands.
Your data in one look
- We collect what we need to print, pack, ship and support your order. Nothing more on purpose.
- Player names and numbers are used to print the jerseys you ordered and to answer questions about that order.
- We do not sell personal information, and we do not rent out mailing lists.
- Full card or account details are handled by the payment service shown at checkout, not stored by us.
- Photos you email us are deleted 30 days after delivery of the order they relate to.
- You can ask to see, correct or delete your information at any time by email.
What we collect from you
When you place an order
To complete checkout we ask for your name, email address, billing address and shipping address. Checkout may also offer a phone field; fill it in only if you want to. We record what you bought, the sizes, the quantities, the price paid and the date. That record is your order.
Personalisation fields
Our ten custom products, plus the optional leg number on Team Basketball Shorts, have built-in fields: Player name on back, Player number, Lettering colour, and on some items a tick box to add the number on the front or a short Roster note of up to 120 characters. Whatever you type into those fields is saved with the cart line and the order. In practice this often means the first or last names of players, some of them children on youth teams. We treat those names as personal information and use them for one job only: printing the order exactly as typed.
When you write to us
If you email support, we keep your message, your email address and anything you attach. Organisers sometimes send a roster spreadsheet, a photo of a sizing problem or a picture of a parcel. We use those files to answer you. Photos follow the 30-day deletion rule described further down.
When you create an account
An account in My Account stores your login email, a password you choose (saved in hashed form, so we cannot read it), your saved addresses and your order history. An account is optional. You can check out as a guest.
Collected automatically
Like any website, our server and the software that runs the store record technical data when you browse: IP address, browser type, device type, pages visited, the page that sent you here and the time of each request. Cookies keep your cart and login working. See the cookies section below.
Why we use it
Every use below ties back to running a team kit store. If a use is not on this list, we do not do it.
| Information | What we use it for | Legal basis where one is required |
|---|---|---|
| Name, email, addresses | Processing the order, shipping it to the US, Canada, Australia or New Zealand, sending order emails, handling returns and refunds | Performing our contract with you |
| Player names, numbers, lettering colour, roster notes | Printing each jersey as typed and checking a line if you email about it | Performing our contract with you |
| Support emails and attachments | Answering questions, fixing changes inside the 24-hour window, processing returns | Contract and legitimate interest in giving support |
| Payment result from the checkout provider | Confirming the order is paid, issuing refunds to the original payment method | Contract and legal record-keeping |
| Technical and cookie data | Keeping the cart, checkout and login working; protecting the site from abuse | Legitimate interest in a secure, working store |
| Marketing preferences | Sending news about the range, only if you opted in | Your consent, which you can withdraw |
Fraud and security
We may look at order and technical data to spot fake orders, card testing or attacks on the site. This protects you as well as us.
Improving the store
We look at which pages are visited and where checkout stalls so we can fix confusing steps. We do this with the store’s own records. We do not currently run third-party analytics or advertising trackers on the site. If that ever changes, this page will be updated first and, where the law requires it, we will ask for your consent.
Rosters, youth teams and children
Many of our customers coach youth soccer, school basketball or a church league. The person placing the order is an adult organiser. The store is not built for children to shop on, and we do not knowingly collect information directly from anyone under 13, or under 16 where local law sets a higher age.
Keep the roster lean
A jersey needs a name and a number. It does not need a birthday, a school year or a phone number. Please type only what should be printed. The Roster note field is for practical notes such as which cart line belongs to the assistant coach; it is not the place for medical, contact or age details.
Nicknames are fine
If a family prefers that a child’s real name does not appear on a shirt, a nickname or a number-only jersey works. The name field is optional on the Custom Reversible Practice Jersey, and players can always go by initials.
If a child contacted us
If you believe a child sent us personal information directly, email us and we will delete it.
Who else sees your information
We share information only with the services that help us run the store, and only the part each one needs.
- Payment provider. The payment method shown at checkout processes your payment. It receives your billing details and payment information and tells us whether the payment went through. We never see or store your full card number. See Payment Methods for how checkout works.
- Production and shipping partners. The people who print and ship your order receive the product details, personalisation text and shipping address. Without that, a jersey cannot be printed or delivered.
- Delivery services. Whichever delivery service carries your parcel receives the name and address on the label.
- Hosting and email. Our web host stores the site database, and our email provider carries support messages.
These services may use the information only to provide their service to us. We may also disclose information if the law requires it, to answer a valid legal request, or to protect the rights and safety of our customers or the store. If Kit Crew were ever sold or merged, customer records would pass to the new owner under the same promises.
What we never do
We do not sell personal information. We do not share rosters with leagues, schools, sponsors or other stores. We do not publish player names anywhere on the site.
Cookies and the cart
Cookies are small files your browser stores. Ours are mainly essential: they remember the items in your cart, keep you logged in and carry you through checkout. Without them the cart empties every time you change page, which is painful when you are building an 11-line basketball order one player at a time.
Your choices
You can block or delete cookies in your browser settings. If you block essential cookies, the cart and checkout will stop working. The live preview that shows a name and number over the product photo runs in your browser and does not need a tracking cookie.
How long we keep things
| Record | How long we keep it |
|---|---|
| Order records, including personalisation text | As long as tax and accounting rules require, then deleted or made anonymous |
| Photos customers email us | Deleted 30 days after delivery of the related order |
| Support emails | While useful for resolving your request and any follow-up on the same order |
| Account data | Until you ask us to close the account |
| Marketing preferences | Until you unsubscribe |
| Store credit balance | Kept on file because store credit never expires |
Keeping it safe
The whole site runs over encrypted HTTPS. Access to order data is limited to the people who need it to process orders or answer support. Passwords are stored hashed. No system is perfectly secure, so we also keep what we hold small. If a breach affects your information and the law requires notice, we will tell you.
Help us help you
Use a strong, unique password for your account. We will never email you asking for your password or full card details. If a message claiming to be from us asks for those, do not reply; forward it to support@kitcrew.shop.
Your rights and how to use them
Depending on where you live, you may have the right to:
- Get a copy of the personal information we hold about you.
- Correct details that are wrong, such as a misspelled email address.
- Ask us to delete your information, subject to records we must keep by law.
- Receive your data in a portable format.
- Object to or restrict certain uses, and withdraw consent you gave earlier.
- Opt out of the sale or sharing of personal information. We do not sell or share it for advertising, but you can still make the request.
Email support@kitcrew.shop from the address linked to your order and tell us what you want. We may ask a simple question to confirm the request comes from you. We will not treat you differently for using these rights.
Correcting a player name is a different thing
Fixing a typo such as MCKENZY to MCKENZIE on a jersey is an order change, not a privacy request. That is possible within 24 hours of placing the order; see Cancel or Change an Order.
Visitors from outside the US
We sell to the US, Canada, Australia and New Zealand. Our store and service providers may process your information in the United States or other countries. Where the law requires safeguards for those transfers, we rely on them.
Changes and contact
We will update this page when our practices or the law change. The date at the top shows the latest version. For material changes we will post a notice on the site.
